Some of the clinics we place people with are ready for someone right away. Others arent yet, and were building a group of people we already trust so we can move fast the moment a clinic does need someone. Either way, you go through the same process. Your recruiter will tell you plainly which situation applies to you.
What this job actually is
When someone calls a vet clinic, theyre often worried about their animal. Your job is to answer fast, figure out whats actually going on, and get them to the right next step, whether thats a booked appointment or telling them to get to an emergency vet right now. Youre not diagnosing anything. Youre the person who keeps the clinics front door running smoothly so the vets and techs can focus on the animals instead of the phone.
What youll actually do
- Answer calls and figure out quickly what each caller actually needs
- Book, confirm, and reschedule appointments accurately in the clinics practice management system
- Ask a few quick questions on every call to catch symptoms that need urgent attention, and know when to send someone to the ER instead of booking a routine visit
- Follow up on missed calls the same day, so a call that slipped through doesnt turn into a client who books somewhere else
- Log calls and messages in the practice management system so the clinical team has real notes to work from, not gaps
- Flag patterns, like a string of complaints or a scheduling gap, to the clinic before they turn into bigger problems
Requirements
What were actually looking for
- 1-5 years in customer-facing phone work: hospitality, dental or medical reception, salon coordination, or something similar
- Real hands-on experience using a practice management system, a dialer, and SMS tools
- Comfortable staying calm and clear with someone whos anxious or upset on the phone
- Genuinely fluent in English, spoken and written. Not good enough, fluent
- Able to reliably work the 10am-12pm and 4pm-6pm Central time windows, five days a week
- Veterinary, medical, or dental front desk experience specifically is a plus, not a requirement
A few things that matter more than they sound like they should
- Internet that doesnt cut out mid-call
- You show up for your shift, every time, on time
- If somethings going wrong, a caller escalated, a booking went sideways, you say so before it turns into a bigger problem
- You follow through on what you said youd do without someone checking in on you
Benefits
How the process actually works
- We read your CV. Not a keyword scan, an actual read.
- A short intro video. Two minutes of you talking is worth more than a page of text. Were checking if youre clear and comfortable on camera, your English skills, and your professional setup (camera, lighting, sound...)
- A call with a recruiter, about 30 minutes. Well ask you to walk us through something real youve done, so have a specific example ready instead of a general answer. This is also when your recruiter will tell you clearly whether a clinic is ready for you now or not yet.
- ScaleSources training academy built specifically for this role. This isnt a formality. Its where you actually learn the job: the systems youll use, the red flags to listen for, and how to handle a call thats gone sideways. At the end, you sit a certification test. Pass it, and youre certified to work this role.
- A reference check. Well ask for someone who actually managed or worked closely with you, not a character reference.
- If a clients ready: one interview with them. They make the final call on who they hire, but you dont repeat anything youve already done here.
Heres the honest part: sometimes when you finish this process, theres no job waiting yet. Thats not a runaround, its how we work. Wed rather spend the time getting to know good people properly now, so that when a client does come looking for someone like you, we already know youre ready, instead of starting the search from scratch. If thats your situation, you wont be left guessing. Well tell you where things stand, including when the honest answer is nothing new yet. And if you take another job while youre waiting, thats completely fine, just tell us, and well pick things back up whenever the timing works for you.
What to actually expect from us
If you make it to an interview, youll get real, specific feedback about how it went either way, not a copy-paste line. If your CV doesnt move forward past the application stage, youll still hear back, but itll be a quick automated note rather than a personal one. With how many applications a posting like this gets, thats the only honest way we can get back to everyone fast.
