Executive Assistant to the CFO

Location: Remote- United States

Department: 1202 - FP&A

Work Location: This position is designated as remote. However, employees who reside within a 40-mile radius of one of our office locations in Tampa, FL; Canonsburg, PA; or Bowie, MD will follow a hybrid work schedule and are expected to work in the office two days per week (Tuesdays and Wednesdays).

Position Summary

We are seeking a highly skilled, proactive, and operationally minded Executive Assistant to support the Chief Financial Officer (CFO) and provide executive support to the SVP, Head of Finance. This role will also serve as a key connector across the Finance organization and broader executive leadership team.

This role is designed for a strategic, detail-oriented professional who will be responsible for creating order, driving operational excellence, and ensuring priorities remain aligned, timelines are met, and leaders stay on course. The ideal candidate thrives in a fast-paced environment, has exceptional communication and organizational skills, and is equally comfortable handling high-level executive priorities and day-to-day administrative responsibilities.

The successful candidate will have a strong sense of ownership and the ability to anticipate needs, manage competing priorities, and proactively bring solutions. This individual must be comfortable operating with a high degree of independence and discretion while supporting two senior Finance leaders and navigating a dynamic, constantly changing environment.

Executive Support & Operational Leadership

  • Serve as the primary executive support partner to the CFO, anticipating needs, managing priorities, and ensuring seamless day-to-day operations.
  • Provide executive support to the SVP, Head of Finance, including calendar management, meeting coordination, travel, communications, and other administrative needs.
  • Drive follow-through on decisions, action items, and projects to ensure clarity, accountability, and timely execution.
  • Act as an extension of the CFO and SVP, Head of Finance in meetings and communications, coordinating effectively across Finance and other functions.
  • Help coordinate priorities, deadlines, commitments, and follow-up across the CFOs and SVPs organizations.
  • Proactively identify potential issues, scheduling conflicts, or gaps and bring forward solutions.
  • Coordinate effectively with other Executive Assistants and key stakeholders across the organization to ensure alignment and smooth execution.
  • Maintain visibility into important commitments, deadlines, and follow-up items to help keep both executives on track.

Presentation Development & Communication

  • Create high-quality presentations, reports, executive team materials, and board-level materials that clearly communicate complex financial and business information.
  • Prepare and format materials using PowerPoint and Excel, ensuring a high degree of accuracy, professionalism, and attention to detail.
  • Support the preparation and coordination of materials for executive leadership meetings, board meetings, Finance meetings, and other key business reviews.
  • Draft executive communications, talking points, meeting agendas, and internal updates as needed.
  • Gather, organize, and synthesize information from multiple stakeholders to support executive priorities and decision-making.
  • Ensure executive communications and materials are clear, polished, timely, and appropriately tailored to the audience.

Calendar, Travel & Logistics Management

  • Manage complex, dynamic calendars and prioritize competing scheduling needs for the CFO and SVP, Head of Finance.
  • Exercise sound judgment when determining priorities, resolving scheduling conflicts, and protecting executive time.
  • Coordinate travel itineraries, accommodations, transportation, and detailed briefings to ensure smooth logistics.
  • Plan and execute internal and external meetings, events, and executive engagements.
  • Coordinate meeting logistics, including agendas, materials, participants, conference rooms, technology, and follow-up.
  • Ensure the CFO and SVP, Head of Finance are fully prepared for meetings by anticipating needs and coordinating necessary information and materials in advance.
  • Adjust quickly to changing schedules and priorities while maintaining organization and professionalism.

Administrative Excellence

  • Oversee traditional executive administrative activities, including expense reports, document management, contract routing, and other administrative processes.
  • Serve as a point of contact for internal and external partners on behalf of the CFO and SVP, Head of Finance.
  • Coordinate with Finance leaders, executive assistants, and other key stakeholders to facilitate efficient communication and execution.
  • Maintain organized records, files, and workflows, ensuring important information and commitments are easily accessible.
  • Monitor and follow up on outstanding items to ensure timely completion.
  • Continuously refine and improve administrative and operational processes to increase efficiency and effectiveness.

Confidentiality & Judgment

  • Handle highly confidential and sensitive financial, business, employee, executive, and organizational information with the highest level of discretion.
  • Exercise exceptional judgment regarding sensitive information, including determining what should be escalated, how information should be communicated, and who should have access to it.
  • Maintain strict confidentiality in all interactions and activities supporting the CFO and Finance organization.
  • Demonstrate sound judgment when working with sensitive business matters and interacting with senior leaders and external partners.
  • Represent the CFO and Finance organization with professionalism, credibility, discretion, and integrity at all times.

Qualifications

  • Bachelors degree or equivalent skill-based experience.
  • 7+ years of experience supporting senior executives; experience supporting a C-suite executive strongly preferred.
  • Experience supporting multiple senior executives is preferred.
  • Exceptional organization, project management, and prioritization skills.
  • Advanced proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
  • Strong business acumen and the ability to quickly understand and navigate complex business priorities.
  • Strong judgment, discretion, and the ability to handle highly confidential information. This cannot be overstated.
  • Excellent written and verbal communication skills.
  • Proven ability to work both strategically and tactically; comfortable switching between big-picture thinking and detailed execution.
  • Ability to work independently, anticipate needs, and make sound decisions with limited direction.
  • Demonstrated ability to manage competing priorities and support multiple senior leaders in a fast-paced environment.
  • Passion for operational excellence and continuous improvement.

Physical Demands and Work Environment:

  • Sedentary work (i.e., sitting for long periods of time) exerting up to 35 pounds of force occasionally and/or negligible amount of force;
  • Occasionally to lift, carry, push, pull or otherwise move objects and repetitive motions;
  • Subject to inside environmental conditions; and
  • Travel for this position will include less than 5% locally usually for training purposes.

In addition to the base compensation, this position may be eligible for performance-based incentives.

The actual base pay offered may vary depending on multiple factors including, but not limited to, job-related knowledge/skills, experience, business needs, geographical location, and internal equity. At Inovalon, it is not typical for an individual to be hired at or near the top end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.

Base Compensation Range
$36.92$55.28 USD
