Impact Advisors is seeking a knowledgeable and motivated AR Supervisor that will oversee daily operations related to account adjustments, credit balance resolution, refund processing, payment posting support, and reconciliation activities. This leader upholds workflow standards and drives productivity to ensure adjustments and credits are reviewed, documented, approved, and processed accurately, timely and in compliance with all policies, regulations, and requirements. The AR Supervisor plays a critical frontline leadership role and serves as a partner to AR Managers and Directors, supporting both team performance and client outcomes, and collaborates closely with other revenue cycle teams.
The AR Supervisor manages between 10-15 AR representatives across both the US and nearshore locations with responsibility for the accuracy of their assigned team. The position reports to the AR Director and offers a unique opportunity to contribute to client success while making a meaningful impact on the healthcare industry.
Key Responsibilities:
Daily Operational Oversight:
- Oversee daily work queues to ensure timely review and resolution of credit balances, overpayments, contractual adjustments, write-offs, refunds, and account corrections.
- Review and approve adjustment and refund requests according to established authority levels, documentation standards, and internal controls.
- Ensure accurate posting of contractual adjustments, administrative adjustments, insurance refunds, patient refunds, takebacks, recoupments, and related account activity.
- Monitor accounts receivable and credit balance aging to identify trends, prevent delays, and reduce unresolved balances.
- Research and resolve complex or escalated account discrepancies involving payers, patients, internal departments, and external vendors.
- Maintain compliance with HIPAA, CMS guidance, payer contracts, state refund requirements, audit standards, and organizational policies.
- Prepare and review productivity, quality, aging, refund, adjustment, and reconciliation reports for leadership.
- Conduct quality audits to validate accuracy of adjustments, refund determinations, supporting documentation, and account notes.
- Partner with billing, denials, coding, collections, cash posting, finance, and compliance teams to resolve revenue cycle issues and improve workflow.
- Support month-end close activities by ensuring timely reconciliation, accurate reporting, and proper communication of unresolved items.
- Review escalated or complex claims requiring supervisor intervention, including those related to California‑specific regulations (e.g., DMHC, Medi‑Cal, CCS, workers’ comp variations).
Staff Leadership:
- Lead, coach, train, and evaluate employees to meet productivity, quality, and accuracy standards for adjustments, credit balances, refunds, payment posting support, and account reconciliation.
- Conduct regular 1:1 meetings, team huddles, and performance discussions.
- Assist with onboarding, workflow training, and ongoing competency development.
- Support disciplinary action or escalation as needed.
Cross-Functional Collaboration:
- Work closely with AR Managers, Directors, and Client Delivery leadership to escalate payer issues, recommend process improvements, and support client‑focused outcomes.
- Participate in leadership or operational meetings as needed.
Qualifications
Required
- High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration, business, finance, accounting, or a related field preferred.
- Minimum of three years of healthcare revenue cycle, patient accounting, billing, payment posting, adjustments, refunds, or credit balance experience required.
- At least 1-2 years of supervisor or AR team lead experience.
- Working knowledge of insurance reimbursement, Explanation of Benefits, Electronic Remittance Advice, contractual adjustments, overpayments, refunds, and accounts receivable processes.
- Experience using practice management systems, patient accounting systems, electronic health records, payer portals, and Microsoft Office applications.
- Ability to interpret payer requirements, internal policies, account history, remittance documentation, and financial reports.
- Strong understanding of revenue cycle processes, billing workflows, and payer behavior.
- Proficiency with EHR and billing systems (Epic preferred), Microsoft Excel, and workflow reporting tools.
- Excellent communication, time management, and organizational skills.
- Ability to travel to Mexico to support training and onboarding.
Preferred
- Hands‑on AR experience with California payers and billing standards.
- Experience supporting large, multi‑facility health systems.
- Bilingual (English/Spanish).
- Experience in complex denial management environments.
- Located in California or Texas.
