You thrive on keeping projects on track, ensuring teams are aligned, and identifying potential roadblocks before they become issues. You are comfortable working across technical teams, Professional Services, Sales, and customers to understand project needs and keep work moving forward. You are curious, adaptable, and not afraid to ask questions or push back when something doesn’t look right. Your attention to detail is exceptional, and you naturally spot what’s missing, incomplete, or at risk. You’ll also develop a strong understanding of our Architecture & Optimization (A&O) practice, its projects, technology, and delivery needs, while supporting the resource management activities that keep the team operating efficiently.
Responsibilities:
- Coordinate A&O projects and engagements, including scheduling, timelines, milestones, project status, and resource needs.
- Partner closely with A&O delivery leaders, project managers, consultants, and other stakeholders to ensure projects are appropriately planned and supported.
- Develop a strong understanding of A&O projects, terminology, technology, and delivery requirements. Ask the right questions to understand project scope, requirements, dependencies, and potential risks.
- Manage A&O scheduling using half-day and whole-day blocks, ensuring consultant availability and project needs are accurately reflected.
- Lead or facilitate regular project and resource coordination meetings to review upcoming work, assignments, scheduling conflicts, and changing priorities.
- Monitor the service opportunity pipeline to anticipate upcoming projects, scheduling needs, and potential resource requirements.
- Support initial project creation and validation of service, project, and resource needs.
- Coordinate resource assignments for A&O project roles in collaboration with Professional Services leads and project managers.
- Maintain visibility into resource capacity and upcoming demand, identifying potential conflicts and helping facilitate solutions that support business priorities.
- Communicate with customers as needed to coordinate project needs, manage expectations, and address scheduling or scope concerns.
- Identify when customer requests may be outside of scope and confidently ask questions or escalate concerns to the appropriate team.
- Develop working knowledge of the Microsoft security stack, including Microsoft Security, Purview, Intune, and Entra, and understand the terminology well enough to communicate effectively with technical teams and customers.
- Maintain accurate resource records and skillsets for Avertium consultants and contractors to support effective project staffing and scheduling.
- Support resource management activities for the A&O team, including monitoring assignments, timesheet data, capacity, and forecast accuracy.
- Support focused resource management for RED as needed.
- Help identify resource constraints, underutilization, or scheduling concerns and work with delivery leaders to recommend appropriate solutions.
- Support ongoing improvements to Professional Services project coordination, scheduling, and resource management processes.
Qualifications:
- 3-5 years of project coordination, project management, or related experience, ideally within a technology company, Professional Services organization, or relevant consultancy.
- Experience coordinating multiple projects, schedules, timelines, resources, and competing priorities.
- Experience working with a Professional Services Automation tool is a plus; Certinia preferred.
- Effective, clear, and concise communication skills, both verbal and written.
- Outstanding interpersonal and influence skills, with the ability to work effectively across technical and non-technical teams.
- Strong organizational skills and exceptional attention to detail.
- Strong conflict resolution and problem-solving skills, with the ability to confidently navigate competing priorities.
- Comfortable communicating with customers and managing project expectations and scope.
- Ability and willingness to learn technical concepts and terminology and develop a working knowledge of the Microsoft security stack, including Microsoft Security, Purview, Intune, and Entra.
- Ability to learn and support resource management processes, including scheduling, resource assignments, capacity planning, and forecast accuracy.
