We’re just getting started—join us on our journey to make mental healthcare accessible to everyone, everywhere.</div>Reporting to the Manager of the Executive Support Team, the Senior Executive Assistant will provide high-level administrative and strategic support to ensure the executive(s) can operate at maximum effectiveness. This individual will anticipate needs, manage complex priorities, and act as a trusted partner in facilitating smooth communication, decision-making, and execution across the organization. This is a full-time, hybrid role. Standard working hours are Monday through Friday, 8 a.m. to 5 p.m. Hybrid days are Tuesday through Thursday, with ad-hoc in-office days as needed. The remaining two days can be worked remotely. As this is a full-time, hybrid position, we are only considering candidates in the tri-state area, with a strong preference for those located in the New York City area. <h3>What you’ll do</h3> Proactive Support: <ul> <li>Anticipate the leader’s needs and act proactively to address them, including preparing meeting materials, briefing documents, and agenda items in advance.</li> <li>Monitor deadlines and follow up on action items, ensuring timely completion of tasks and facilitating effective decision-making.</li> <li>Availability to be reached in and outside of regular working hours as needed.</li> <li>Support the design and execution of the department All Hands meeting.</li> </ul> Calendar Management: <ul> <li>Proactively manage the leader’s calendars, including interview scheduling, prioritizing appointments, and coordinating all internal and external meetings.</li> <li>Work closely with the leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately. </li> <li>Act as a barometer, having a sense for the issues taking place in the environment and keeping leaders updated. </li> <li>Anticipate the leaders needs in advance of meetings, conferences, etc. and proactively identify ways to meet those needs.</li> <li>Optimize the leaders schedule to create more time for strategic initiatives by efficiently managing conflicting priorities and minimizing time conflicts.</li> </ul> Communication and Correspondence: <ul> <li>Act as a liaison between the leaders and internal/external stakeholders, handling correspondence, emails, and phone calls with professionalism and confidentiality.</li> <li>Provide a bridge for smooth communication between the leaders and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.</li> <li>Draft, proofread, and edit various business documents, including memos, reports, presentations, and emails, ensuring accuracy and clarity.</li> </ul> Travel and Logistics: <ul> <li>Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visas, considering the leaders preferences and optimizing travel efficiency.</li> <li>Coordinate logistics for meetings, conferences, and events, both onsite and offsite, ensuring smooth execution and providing necessary support.</li> </ul> Information Management: <ul> <li>Organize and maintain confidential and sensitive information, documents, and files, ensuring easy accessibility and efficient retrieval.</li> <li>Display discretion in handling highly confidential information on behalf of the leaders.</li> <li>Conduct research, gather data, and prepare reports and presentations to support the leaders decision-making process.</li> </ul> Personal Tasks for your Leader: <ul> <li>Perform delegated tasks for your leaders, such as maintaining their appointment calendar and handling day-to-day errands.</li> <li>Anticipate your leader’s personal needs while adeptly addressing unexpected situations.</li> </ul> What success looks like <ul> <li>The executive(s) you support consistently feel prepared, informed, and one step ahead with meetings, materials, and priorities proactively organized.</li> <li>Calendar, travel, and logistics run seamlessly, freeing leadership time for strategic work while minimizing conflicts and inefficiencies.</li> <li>Stakeholders, both internal and external, experience professional, timely, and effective communication through you, building trust and credibility.</li> <li>Department All Hands and other leadership forums are executed flawlessly, with thoughtful planning, strong follow-through, and a polished experience for attendees.</li> <li>Confidential and sensitive information is handled with discretion and integrity, strengthening confidence in your judgment and professionalism.</li> <li>Action items and deadlines are tracked rigorously, with follow-up ensuring that nothing falls through the cracks.</li> <li>Unexpected challenges, whether schedule changes, urgent requests, or personal support needs, are handled with composure, discretion, and resourcefulness.</li> <li>You demonstrate adaptability, thriving in a fast-paced environment, and continuously finding ways to optimize processes and improve efficiency.</li> </ul> What you’ll bring <ul> <li>5+ years of previous experience as an Executive Assistant supporting C-level executives or senior management. </li> <li>Required to work from the NYC office 3 days a week and be able to coordinate with in-person and remote executives and team members </li> <li>Exceptional organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.</li> <li>Practices discretion and confidentiality when handling sensitive information.</li> <li>Proactive mindset and the ability to act with a sense of urgency, anticipating needs and taking proactive measures to support executives. </li> <li>Strong calendar management skills, adept at optimizing schedules and creating more bandwidth for strategic activities.</li> <li>Excellent written and verbal communication skills, with the ability to interact professionally and confidently with stakeholders at all levels.</li> <li>Proficiency and agility in computer skills, including Google suite (Docs, Sheets, Slides, Forms), database management, and online collaboration tools.</li> <li>Strong attention to detail and accuracy, particularly in managing confidential information and preparing business documents.</li> <li>Ability to maintain composure and work effectively under pressure, handling high-stakes situations with professionalism.</li> <li>Flexibility and adaptability to changing priorities and demands, readily adjusting schedules and tasks as needed.</li> </ul> The target base range for this position is $129,780 - $162,230 and is part of a competitive total rewards package including stock options and benefits. Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations.
