Role Summary
Sophos is seeking a dedicated and experienced Assistant Facilities Manager to join our Global Workplace Solutions team, based in Vancouver, BC. This position is responsible for supporting the effective operation of our local office by managing services, equipment, space, and workplace processes that contribute to a safe, efficient, and engaging environment for employees. 
This hands-on, multi-disciplinary role includes oversight of space planning, vendor coordination, building maintenance, health and safety practices, and business continuity support. The role is customer-facing and requires strong communication and service delivery skills. 

As the primary contact for all facility-related matters in Vancouver, you will collaborate closely with internal teams and external service providers to ensure the workplace aligns with employee needs and company standards. You will focus on optimizing building operations, enhancing the employee experience, and contributing to operational efficiency and cost control, including oversight of critical systems such as UPS and HVAC in designated lab areas. 

What You Will Do

  • Oversee daily site operations and workplace experience for employees.
  • Manage vendors and service providers supporting janitorial, HVAC, maintenance, and other soft/hard services.
  • Coordinate with building management for shared systems, fire safety drills, and compliance matters affecting the broader facility.
  • Monitor and manage performance of planned preventative maintenance (PPM) and reactive work for systems within our space, including UPS and AC systems in our lab environments (maintained by service provider).
  • Maintain documentation to support compliance with WorkSafeBC, fire code, and municipal by-law requirements.
  • Coordinate employee moves, furniture changes, and space utilization reviews.
  • Maintain emergency response protocols and participate in site-level incident response.
  • Keep the internal GWS Hub and facilities-related materials current and relevant for local staff.
  • Support environmental, health, and safety (EHS) initiatives in coordination with internal stakeholders.
  • Provide after-hours / emergency call out coverage as required. 

What You Will Bring

  • Post-secondary education or equivalent experience in Facilities Management, Real Estate, Engineering, or a related field.
  • Health & safety training (e.g., WorkSafeBC Level 1 First Aid) required or willingness to obtain.
  • Facilities or project management certification (e.g., BOMI, IFMA, FMA) is an asset.
  • Familiarity with British Columbia Building Code and local city permitting requirements.
  • 3–5 years of experience in facilities or workplace operations within a corporate or commercial office setting.
  • Strong vendor management skills across both hard and soft services.
  • Demonstrated ability to manage projects, service contracts, and day-to-day workplace operations.
  • Excellent communication and organizational skills with attention to detail.
  • Comfortable working independently, managing multiple priorities, and responding to facility-related escalations.
  • Proficient in Microsoft Office (Outlook, Excel, Word, Teams).
  • Experience with CAFM/IWMS systems is a plus.
In Canada, the base salary for this role ranges from $68,000 to $114,000. In addition to base salary, we offer additional  compensation including bonus eligibility and a comprehensive benefits package.  A candidate’s specific pay within this range will depend on a variety of factors, including job-related skills, training, location, experience, relevant education, certifications, and other business and organizational needs.
