About the role:
This role is to be based in our Paris Office.

As part of the Culture team, you will be responsible for leading and improving all aspects of the office and workplace management in Paris and Nantes coworking. You will ensure that office spaces are functional, welcoming, and aligned with the company’s needs while managing budgets, service providers, and workplace policies. Your role will also include supporting company-wide initiatives related to employee experience (on site and remote employee based in Europe), events, and sustainability.
Your ability to anticipate needs, implement scalable processes, and work cross-functionally with HR, IT, and Leadership will be key to success in this role.
This position is based in the Paris office, we expect a presence in the office at least 3 days a week. Travel to Nantes office is required 2 times a year.
In particular, you will:
Office & Workplace strategy

- Define and implement workplace strategies that enhance productivity, collaboration and reflect company culture and values.
- Lead workplace transformation projects, including office moves, benchmark redesigns, or expansions.
- Responsible for continuous improvement of processes, internal policy, premises optimization tools and communicating them properly.
- Oversee daily office operations, ensuring smooth and efficient functioning.
- Manage office services, including landlord, coworkings, receptionist team, supplies, maintenance, and IT coordination.
- Optimize vendor and supplier contracts to ensure quality service at the best cost.
Administrative support & Participate in employee lifecycle management

- Support onboarding and offboarding processes in collaboration with HR and IT.
- Prepare workspaces, access and welcome kits for new hires.
- Handle offboarding logistics, including equipment retrieval and workspace updates.
- Maintain administrative records related to office operations, employee access, and workspace allocation
- Manage incoming letters and ensure the support team are well trained to be autonomous to send letters.
- Support onboarding and offboarding processes in collaboration with HR and IT.
Employee Experience & Engagement
- Develop initiatives to improve the employee workplace experience.
- Collaborate with the Event Manager to organize office events linked with our event roadmap.
- Act as a key point of contact for employees regarding office-related needs and concerns.
Budget & Cost Optimization
- Optimize the office management budget.
- Monitor expenses and identify cost-saving opportunities while maintaining high service standards.
Leadership & Project Management

- Mentor and participate in developing the skills of trainees and junior staff.
- Collaborate with cross-functional teams (HR, IT, Finance) to drive office-related projects.
- Collabore with Facility Manager and our Green Committee to implement initiatives within our office.
About you
Required qualifications / experience:
- 4+ years of experience in office management, workplace experience, or a similar role.
- Strong project management skills with the ability to lead and execute multiple hands-on initiatives simultaneously.
- Excellent negotiation and vendor management skills.
- Familiarity with budget management, cost optimization and contract management.
- Growth Mindset, someone who is eager to always find ways to automate processes and improve what’s already existing.
- Understanding of health & safety regulations and workplace compliance standards.
- Fluent in English, French
Preferred qualifications/bonus:
- Tools: Hibob,Notion, Office suite, Gsuite, experience with workplace technology tools (office booking systems, security tools, etc.).
- Language: Third language is a bonus
- Experience in a fast-paced, evolving company environment.
