A Day in the Life
Medtronic’s Global Records program is a key program in the broader strategy of Global Information Lifecycle Management, Discovery Management, and overall good data stewardship. This position offers the opportunity to help streamline records management processes, increase overall education and awareness of good data stewardship practices across the enterprise, and partner with IT, Privacy and Security to reduce legal risk and improve efficiency.The Global Records Program Manager reports to the Sr Program Manager of Global Information and Discovery Management. This is an individual contributor role. This role involves developing data retention and records management strategies and processes, and leading data management initiatives on a global scale. This role also requires the ability to maintain and grow key partnerships with IT, Privacy, Security, Regulatory and Legal. Candidates should be skilled in program management, process improvement, finance management, and contributing to strategic planning.
The ideal candidate is a motivated self-starter with expertise in Records Information Management (RIM), data governance, knowledge management, and legal operations. This expertise should be paired with strong relationship building skills, technical proficiency, organizational skills, and the ability to facilitate effectively. Success in this role requires thriving in a regulated, matrixed environment, being a respected leader and team player, and demonstrating clear communication and strong collaboration across the organization.
This position will reside in our Operational Headquarters Office in Fridley, MN and will work per the Medtronic hybrid guidelines. This position offers the possibility of being remote.
Responsibilities may include the following and other duties may be assigned.
- Serve as the internal RIM consultant responding to records management questions and challenges across the enterprise
- Serve as the primary contact for records and information management for Medtronic’s IT organization.
- Serve as the primary contact for Medtronic’s Privacy and Security organizations to increase partnerships and collaborate on overall good data stewardship
- Work with stakeholders to prioritize projects and ad-hoc requests.
- Support the litigation organization by providing information related to records management processes and procedures in support of legal hold and preservation goals
- Develop a records management champion program across the enterprise bringing in stakeholders to support education and training related to records management
- Manage the Versatile Retention (vRet) SaaS subscription, including legal citation searches, license management, and retention schedule updates.
- Author and maintain Medtronics Global Records and Information Management Policy, ensuring annual review and compliance.
- Lead and support RIM projects and develop training curricula.
- Collaborate with departments to apply appropriate retention periods and provide guidance on record destruction inquiries.
- Drive continuous improvement in RIM processes to enhance compliance and efficiency.
- Support litigation assignments as the Medtronic subject matter expert and may be called upon to be an expert witness in some matters
- Collaborate closely with the Facilities team to manage physical record storage and deletion in accordance with the retention schedule. Focus on cost optimization while maintaining retention schedule standards.
- Translate Legal function goals and objectives into concrete strategy and tactical plans.
- Review status of projects and budgets; manage schedules and prepare status reports.
- Assess project issues and resolve them to meet productivity, quality, and client-satisfaction goals and objectives.
- Develop mechanisms for monitoring project progress and for intervention and problem solving with project managers, line managers, and clients.
- Work with a variety of stakeholder groups (legal and non-legal) to ensure strategic priorities are being adequately addressed.
- Serve as an escalation point for concerns raised by the business or project teams.
- Resolve issues in a collaborative and inclusive manner leveraging diverse resources to get to the best possible solution.
- Work with finance and project teams on forecasting, collecting, and reporting financial data as needed to meet both business and status reporting requirements.
- Ensure change impacts are defined and develop plans to implement changes.
- Streamline processes / workflows and drive on-going updates to configuration of relevant systems.
- Not directly responsible for hire or fire decisions and people management.
- Travel requirement: Less than 10%
Must Have: Minimum Requirements:
- Bachelor’s degree with 5+ years of experience with records and information management; or, an advanced degree with 3+ years’ experience
Nice to Have:
- Masters degree in a related field, Juris Doctor (JD) degree, or Paralegal certificate
- Bachelor’s degree in a relevant field such as Legal Studies, Business Administration, Information Technology, Computer Science, Data Analytics, or a related discipline
- Experience with SaaS solutions, particularly Versatile Retention (vRet).
- Certification in records management or related discipline.
- Financial management and cost optimization skills pertaining to this area of expertise
- Experience working in a regulated environment
- Relevant experience in a law firm, corporate legal department, or professional services, including legal operations and data management.
- Proficient in process mapping, project management, and Lean or Six Sigma principles, concepts, practices, and standards.
- Experience working effectively within a matrixed organizational structure.
- Strong ability to build relationships and earn the trust of IT, Privacy, Security and Legal.
- Demonstrated ability to proactively identify and resolve issues in a creative and collaborative manner.
- Actively seeks opportunities to enhance stakeholder satisfaction and deepen relationships.
- Excellent oral and written communication skills, including the ability to provide updates to executive leadership.
- Ability to develop and deliver training programs.
- Proficient in and experience with process mapping, project management, and Lean or Six Sigma principles, concepts, practices, and standards
- Practical knowledge in leading and managing processes, projects, programs, and tactics related to program management.
- Experience working within a matrixed environment.
- Experience in managing by influence.
- Experience accomplishing goals through others and providing work direction, coaching and/or guidance to project teams.
- Results oriented. Ability to identify and drive resolution of issues in a proactive, creative, and collaborative manner.
- Continually seeking opportunities to increase stakeholder holder satisfaction and deepen relationships.
- Excellent oral and written communications skills, including executive level updates.
