As a core business unit of the Linux Foundation, the Event Team (composed of 50+ event management, sales, and marketing professionals) manages over 150 global events and conferences each year, ranging from 50 to 20k attendees. We host in-person, virtual, and hybrid events.
Job Description
We’re looking for a highly-organized, detail-oriented, and customer-focused Event Planner to join the Sponsorship Deliverables team within our global events organization. This position plays a critical role in ensuring our event sponsors receive seamless, high-touch service and that all exhibit-related deliverables are executed with precision and professionalism.
This individual will be the primary point of contact for sponsors after contract execution and will manage the successful delivery of all sponsor-related assets—most notably their exhibit booth presence. The ideal candidate has direct experience managing exhibit halls at B2B conferences, working with exhibit contractors, overseeing floorplans, and balancing sponsor needs with firm operational deadlines.
This role reports to the Director of Events, Sponsorship Deliverables, and will collaborate closely with the sponsorship sales team, event operations teams, and exhibit vendors across a portfolio of 30+ global events annually.
What You Will Work On
Serve as the main sponsor-facing point of contact post-sale, ensuring all sponsorship deliverables are fulfilled accurately and on time
Manage all exhibit hall logistics, including:
Booth assignments and floorplan development in collaboration with contractors
Booth utilities such as power, internet, AV, and shipping coordination
Booth signage, branding, and furniture/décor
Vendor communication, timelines, and task tracking
Build, maintain, and manage the sponsor exhibit portal and related sponsor communications
Enforce sponsor deadlines with professionalism—balancing strong project management with excellent customer service
Collaborate with the sponsorship sales team to ensure expectations are clear and deliverables are feasible
Work closely with the exhibit services vendor to design floorplans, review specs, and ensure sponsor materials meet guidelines
Provide on-site leadership during move-in, exhibit hall setup, and live event operations to support sponsors and vendors
Assist with sponsor welcome and check-in, troubleshoot deliverables, and ensure a polished sponsor experience
Update and create documentation, processes, and sponsor resources as needed
Support general event planning tasks as needed, especially where they intersect with sponsor experience
Plan, manage and successfully deliver B2B events and conferences, both wholly and as part of a larger team. This includes in-person, virtual, and hybrid events around the world
Event management tasks will include: space planning, F&B, AV, staff scheduling, internet, stage design, health and safety protocols, attendee communications, attendee experiences, and branding/environmental design
Work collaboratively with other team members, across the organization, with community members, and with vendors
Create new, or update existing processes, documentation, timelines, and to-do lists where it relates to event responsibilities
Create and proofread event materials (including copywriting) for website, signage, registration, attendee/speaker/sponsor communications
Provide on-site support for events, including overseeing execution of areas of pre-planning responsibility as well as other tasks as assigned
Provide customer support to attendees and other event stakeholders
Work closely with internal cross-functional teams for successful execution of events and to meet event goals and objectives
Act as a skilled negotiator with proven experience finding creative ways to do more with less, and a track record of staying on budget
Work with external vendors on the creation and timely delivery of conference deliverables
Qualifications
Who We Are Looking For
6+ years of experience in B2B event planning, with a strong emphasis on exhibit hall and sponsorship management
Proven ability to manage multiple sponsors, vendors, and moving pieces simultaneously
Familiarity with common exhibit contractor platforms and sponsor deliverables (e.g., power, internet, lead retrieval, booth logistics, signage, etc.)
Experience working with global sponsors, vendors, and large-scale exhibit hallsCustomer-service oriented mindset with the ability to set boundaries and uphold timelines professionally
Strong verbal and written communication skills; concise and friendly tone, even under pressure
Extremely detail-oriented with excellent time and project management skills
Collaborative, solutions-oriented, and adaptable in a fast-paced and evolving environment
Proficiency with standard business applications (Google Workspace, Salesforce, Slack, Asana) and event tech platforms (such as Cvent, ExpoGenie), and experience working with exhibit portal tools or sponsor management platforms a strong plus
Hospitality mindset—approaches sponsor interactions as a brand ambassador for our organization
Degree in events, marketing, business, communications, or a related field preferred
Proficiency in a second language and previous experience working remotely a plus

Additional Information
Salary $73,000 - 85,000 USD
This position requires overnight and weekend travel to events both domestically and internationally (~30%). This position is remote and is open to applicants who can work North American time zone standard business hours.
