As a Senior Recruiting Coordinator, you’ll be the operational backbone for our most complex and high-impact searches, especially for technical and executive roles, helping Intercom scale with speed and precision as we continue to set the standard in AI-first customer service. We currently operate in a hybrid working model and this person will be expected to be in the office in San Francisco at least 3 days a week.</p> <h2>What will I be doing? </h2> <ul> <li>Own and execute the end-to-end coordination of interviews for roles across Intercom from technical interviews to senior level openings (Director, VP, and above) managing complex schedules across multiple time zones and stakeholders. </li> <li>Serve as a trusted partner to recruiters and hiring managers, proactively anticipating needs and solving for last-minute changes with agility and professionalism.</li> <li>Act as the primary point of contact for candidates, ensuring a white-glove experience that reflects Intercom’s values and culture.</li> <li>Facilitate on-site interviews, including greeting candidates, preparing interview spaces, and ensuring a welcoming office experience.</li> <li>Optimize and maintain our applicant tracking system (ATS)</li> <li>Assist with posting job openings on various job boards and Intercoms careers page. Ensure job descriptions are up-to-date and attractive to potential candidates.</li> <li>Champion the candidate experience, continuously seeking ways to raise the bar and ensure every interaction is memorable and inclusive.</li> <li>Represent Intercom’s mission, vision, and values with integrity, and help us attract AI-enthusiasts who are excited to shape the future of customer service.</li> </ul> <h2>What skills do I need? </h2> <p><strong>Essential:</strong></p> <ul> <li>Significant experience (3+ years) coordinating interviews for technical and senior/executive roles in a fast-paced, high-growth environment.</li> <li>High level of business acumen; able to understand and anticipate the needs of senior stakeholders and adapt to changing priorities.</li> <li>Exceptional organizational skills, attention to detail, and a sense of urgency.</li> <li>Excellent written and verbal communication skills, with a focus on delivering a best-in-class candidate experience.</li> <li>Proficiency with ATS, scheduling tools, and productivity suites (GSuite, Microsoft Office).</li> <li>Proven ability to thrive in ambiguity, solve problems independently, and drive process improvements.</li> </ul> <p><strong>Preferred:</strong></p> <ul> <li>Experience supporting recruiting operations at a technology or AI-focused company.</li> <li>Experience with our tech stack - Greenhouse, Ashby Analytics, Candidate.FYI, Asana, Docusign etc.</li> </ul> <h2>Benefits </h2> <p><span>We are a well-treated bunch, with awesome benefits! Actual base pay will depend on a variety of factors such as education, skills, experience, location, etc. The base pay range is subject to change and may be modified in the future.
