Facet believes financial advice should be delivered with a fresh, human-plus-tech approach, that includes a CFP® professional–the highest certification possible.Day-To-Day Responsibilities:<ul> <li> Initiative Management and Cross-Functional Coordination</li> <ul> <li>Maintain initiatives across all functions/go-to-market for Facet</li> <li>Ensure programs are delivered on time by monitoring progress, flagging delays, and facilitating rapid issue resolution</li> <li>Stay one step ahead of the President &amp; COO on all initiatives by anticipating needs and closing gaps by engaging with relevant stakeholders</li> </ul> <li> Program Management</li> <ul> <li>Oversee governance and prepare agendas for weekly initiative meetings ensuring alignment with business objectives and strategic goals</li> <li>Facilitate effective decision-making by coordinating the flow of information and ensuring timely communication between the President &amp; COO and her leadership team</li> </ul> <li>Content Management</li> <ul><li>Develop, edit, format, and proofread presentation decks</li></ul> <li>Off-site and Event Planning</li> <ul> <li>Plan offsite and event programming for Facet including the development of agenda content and programming</li> <li>Oversee in-person event execution </li> <li>Organize various company-wide virtual events</li> </ul> <li> Calendar/Meeting Management</li> <ul> <li>Manage the President &amp; COO’s personal and business calendars ensuring all meetings, events, and commitments are scheduled and aligned with strategic priorities</li> <li>Manage meetings across the President &amp; COO’s leadership team and broader organization (ex. monthly All Team meetings)</li> <li>Manage team record-keeping and PTO requests for President &amp; COO’s organization</li> </ul> <li>Travel Coordination &amp; Expense Management</li> <ul> <li>Coordinate travel arrangements including flights, accommodations, and itineraries for in-person events and engagements</li> <li>Submit expense reports and manage department expenses</li> </ul> </ul><ul> <li>Bachelors degree preferred, or equivalent experience.</li> <li>Minimum of 8-10 years of experience supporting C-level executives (COO/Operational executive preferred) in a fast-paced, high-growth environment, preferably within the fintech or technology sector.</li> <li>Travel required for offsites as needed (1-2 per month)</li> <li>Availability required during all business hours and as needed outside of standard hours.</li> <li>HIGHLY PREFERRED local to Fort Lauderdale/Miami</li> <li>Proven experience in managing complex business and personal calendars.</li> <li>Demonstrated ability to take accurate and comprehensive meeting notes and minutes.</li> <li>Exceptional organizational skills with a superior ability to manage multiple priorities, strong time management, meticulous attention to detail, and a highly organized approach to tasks and information.</li> <li>Strong project coordination skills, with experience managing timelines and deliverables.</li> <li>Outstanding written and verbal communication skills, with the ability to articulate information clearly, concisely, and professionally to diverse audiences.</li> <li>Advanced proficiency in Microsoft G-Suite (Sheets, Docs, Slides, etc) and experience with project management software (e.g., Salesforce, Gong). Ability to quickly learn and adapt to new technologies and systems.</li> <li>Demonstrated ability to handle highly sensitive and confidential information with the utmost discretion and integrity.</li> <li>Strong analytical and critical thinking skills with the ability to identify problems, propose solutions, and make sound decisions independently when appropriate.</li> <li>Ability to anticipate needs, prioritize effectively, and work independently with minimal supervision</li> <li>High emotional intelligence with the ability to build strong relationships, navigate diverse personalities, and maintain composure under pressure.</li> <li>A solid understanding of business operations and the financial services industry is a plus.</li> </ul><ul><li>Experience in a growth-stage company or a similar fast-paced, evolving environment preferred</li></ul>
