Your Role
Reporting directly to the Facilities Manager, the Facilities Assistant plays a key support role in the day-to-day delivery of facility services, ensuring operational efficiency, compliance, and service excellence across the site. The ideal candidate will demonstrate strong situational awareness of the facility environment and a working knowledge of core operational requirements including preventive maintenance programs, administrative support functions, emergency response protocols, health and safety compliance, and site-level security standards. Cross-site support may be required to ensure consistency in service delivery and alignment with broader business continuity objectives.
What youll do
Facilities Operation
Responsible & assist FM for all external contractors in the building daily basis, Cleaning, Maintenance, Preventive Maintenance and Pest Control ensuring all SLA’s and KPI’s are maintained.
Carry out building & meeting room inspections daily, ensuring any issues are dealt with in a prompt and efficient manner.
Update FM manager on Floor plans of service center on a weekly basis.
Support admin on stationery orders and stock upkeep. Handles weekly supply orders and serves as the first point of contact for any printer issues, including service coordination and ordering consumables.
Assist FM as focal point for departments and contractors ensuring lines of communication are maintained and regularly monitored – such as email, mail, telephone and helpdesk.
Liaise with service providers and contractors to ensure regular activities are undertaken e.g. recycling, courier services.
General health and safety duties include risk assessments, contractor monitoring and other statutory and non-statutory site requirements.
Assist FM with maintaining the property to an acceptable condition utilizing the approved external M&E, cleaning, grounds & waste services and security contractors respectively ensuring that the site is always fully operational.
Assist FM with the local management of Environmental matters to ensure targets are met such as recycling targets and any issues are resolved. Record all recycling data and file transfer notes appropriately.
Assist FM in preparing for Security & EHS audits.
To ensure that Procedures are adhered to in relation to all purchase requisitions and invoices within Facilities.
Demonstrate a permanent high level of security awareness, knowledge of emergency evacuation procedures as well as general Health & Safety.
Receptionist Backup as and when required.
Assisting the Facilities department with office moves and other general ad hoc support.
Dispatch Operation
Oversee daily dispatch operations, including the collection, sorting, packaging, and distribution of outgoing mail and packages.
Liaise with courier services to schedule pickups and deliveries, ensuring timely and cost-effective solutions.
Maintain detailed logs of all dispatched items, including tracking numbers and delivery confirmations.
Coordinate internal distribution of documents and supplies across departments or floors.
Ensure compliance with security procedures for handling confidential and sensitive materials.
Collaborate with reception and administration teams for efficient handling of incoming and outgoing mail.
Who are you
Minimum Diploma or Certificate in facilities, OSH or other relevant education field.
Minimum 2 years’ experience in facilities-related operation.
Proficient in both written and spoken Bahasa Melayu and English.
Possess valid driving license class B2/D.
Flexible and able to travel between sites to dispatch and collect documents as needed.
Strong interpersonal skills with the ability to manage time effectively, prioritize tasks, and maintain an organized work environment.
PC Savvy (Microsoft word, excel and outlook)
Ability to multi-task effectively and prioritize workload
Well organized with excellent attention to detail.
