The ideal candidate will also be flexible with work schedule and meet impromptu demands.Responsibilities:<ul><li>Perform administrative duties at a high-volume desk including, but not limited to, heavy calendar management, screening and routing phone calls, processing expense reports, and ensuring timely and effective communications.</li><li>Manage the planning, coordination, and execution of events and frequent business travel, including trip logistics and itinerary, and meeting coordination; provide remote support of the Executive as needed while traveling.  </li><li>Set up meetings, submit drive-on passes and various other administrative tasks.</li><li>Manage office environment by organizing documents, maintaining supplies, purchasing.</li><li>Collaborate closely with the Sr. Manager, Office of the President to support the goals and needs of the President </li><li>Interact with a wide variety of Disney and external contacts on behalf of the President, maintaining a high level of professionalism</li><li>Handle internal and external communications with a high degree of diplomacy.</li><li>Handle confidential and other sensitive information.</li><li>Handle gift purchases/delivery.</li><li>Pull and prepare reports and documents for the Executive; maintain databases.</li><li>Provide backup to other assistants and contribute to common administrative duties.</li><li>Support special projects, promotions, events, and/or programs, as needed.</li><li>Attend creative meetings to take notes and track action items, as needed.</li></ul>Basic Qualifications:<ul><li>2+ years of administrative experience supporting a senior level executive (agency, production company, studio, network or corporate environment preferred).</li><li>Passion for career in TV development / programming. </li><li>Excellent written, verbal, and interpersonal communication skills. Approachable style and ability to effectively and professionally interface with high level executives, clients, employees and business associates both internal and external.</li><li>Strong organizational and prioritization skills. Proven experience in multi-tasking and, while delivering on high quality results and follow through.</li><li>Demonstrates curiosity, business acumen and a desire to understand the ‘big picture’</li><li>Demonstrated flexibility and professionalism in an environment where change is constant.</li><li>Proven ability to handle confidential and sensitive information in a professional manner.</li><li>Self-starter, with ability to work with limited supervision, exercise good judgement, anticipate issues and proactively problem solve.</li><li>Excellent attention to detail and accuracy.</li><li>Proficient in using PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Keynote and Outlook), as well as SAP. Ability to manage various reports and presentations for the department.</li></ul>Preferred Qualifications:<ul><li>3+ years of prior experience supporting senior-level executives in a corporate environment, entertainment strongly preferred. </li></ul>The hiring range for this position in Burbank, CA is $71,000 to $95,100 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors.
