The Disney Adventure, setting sail in 2025, will be the first to home port in Singapore.About the RoleAs an Admin Assistant, you will provide comprehensive, high-level administrative support to the Director of Hotel and Entertainment Operations as well as broader support to the shoreside Operations Team in Singapore. This role requires a proactive, highly organized, and detail-oriented professional who thrives in a dynamic, fast-paced environment. You’ll use a mix of business acumen, relationship management, operational planning, and problem-solving skills to ensure seamless day-to-day operations and exceptional service delivery across both Hotel and Entertainment functions.Responsibilities:<ul><li>Prepare executive-level presentations, letters, spreadsheets, agendas, meeting materials, and departmental communications</li><li>Provide direct administrative support including managing complex calendars, meetings, travel arrangements, and expense reports</li><li>Provide administrative support to the Director of Hotel Operations and Entertainment Operations during their on-site engagements in Singapore or aboard Disney Adventure</li><li>Serve as the primary point of contact for all office administrative responsibilities including phones, supplies, onboarding logistics, and correspondence</li><li>Manage logistics for consultants including travel, payments, and contractual obligations</li><li>Liaise with Immigration Compliance, and input/manage visitor/vendor information in systems such as SSG, SVAM, IRGS</li><li>Support onboarding, transfers, and separation processes for new and current cast/crew</li><li>Maintain company vehicle schedules and coordinate procurement needs (laptops, phones, etc.)</li><li>Provide backup support for department coordination during emergency procedures and act as the Record Information Management (RIM) Coordinator</li><li>Assist with event planning, event setup, and package receiving as needed</li><li>Exercise sound judgment in prioritizing tasks and anticipating the needs of leaders and team members</li><li>Partner with Operations Assistants across the fleet, contributing to ongoing process improvements</li><li>Handle special tasks and high-priority projects as requested</li><li>Manage all responsibilities with the highest level of discretion and confidentiality</li></ul>Required Qualifications &amp; Skills:<ul><li>Minimum 5 years of experience supporting business executives in large organizations</li><li>Strong organizational and multitasking skills with extreme attention to detail</li><li>Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)</li><li>Familiarity with SAP</li><li>Demonstrated ability to navigate complex schedules, prioritize independently, and remain flexible under pressure</li><li>Excellent verbal and written communication skills</li><li>Proven interpersonal and consultative skills with a collaborative, positive approach</li><li>Ability to manage multiple ongoing projects with efficiency and professionalism</li><li>High degree of discretion in handling sensitive and confidential matters</li><li>Passion for providing exceptional service to both internal teams and guests</li></ul>Education:<ul><li>Required: High school diploma or equivalent work experience</li><li>Preferred: Bachelor’s degree</li></ul>The Walt Disney Company is an Equal Opportunity Employer.
