Upstream USA is a growing, national nonprofit committed to ensuring that equitable, patient-centered contraceptive care is made available to any patient and is fully integrated into the health system as part of basic health care. We envision a future where all patients are screened for their contraceptive needs and offered patient-centered contraceptive counseling that’s free from bias, noncoercive, trauma-informed, and delivered by knowledgeable providers and support staff following best medical practices and evidence-based guidelines. We believe all patients should be able to access the contraceptive service of their choice – when they want it and where it is convenient for them to get it. 

We do this by partnering with healthcare organizations to provide them with free training, education and technical assistance – from urban to rural, from large hospitals to small clinics. We know patients and providers want options that meet their individual needs, and our team of practice change experts work hand-in-hand with healthcare organizations to uplift contraceptive care services and drive exceptional patient outcomes, all at no cost to them. 

Across the nation, there are challenges to accessing the high-quality, patient-centered contraceptive care patients deserve. To meet this growing need, Upstream is in the midst of a national expansion to transform contraceptive care. We began by partnering with a single healthcare organization in 2014, when Upstream was founded; today, we have partnered with more than 150 across the nation, and we’re on a path to serving 5 million patients by 2030. 

Upstream is funded primarily through philanthropic individuals and foundations, and does not accept funding from pharmaceutical companies. Upstream’s budget has grown from $1.7 million just six years ago to approximately $60 million in 2024. Upstream’s work has also garnered attention from many leading publications, including Harvard Public Health,  Bloomberg, MedPage Today, and Politico.

Positions Summary

The LMS Specialist supports the daily operations of our Learning Management System (LMS) to deliver training to our partners. Primary responsibilities include system administration, troubleshooting technical issues, creating user-friendly experiences, and implementing solutions to improve user experience and improve workflows.

Essential Duties and Responsibilities

Account Management:

  • Maintain user accounts, including creating and maintaining user profiles, course catalog management, system configuration, analytics, and communications.

Virtual Instructor-Led Logistics:

  • Support roster maintenance, enroll and un-enroll learners in Virtual Instructor-Led Training (VILT) sessions. Support learners in accessing courses and assist with any enrollment or technical issues.

Project Management Support:

  • Assist LMS Manager with project management for LMS and training projects, including system audits, content and system integrations, workflow enhancements, and process improvement projects.

System Monitoring & Troubleshooting: 

  • Monitor and respond to user support requests and provide basic troubleshooting guidance for LMS-related issues (i.e  login or access issues). 
  • Escalate critical issues to the LMS Manager or vendor.

Releases & Implementation updates:

  • Assist LMS Manager with conducting LMS capability assessments, submit enhancement tickets and monitor vendor roadmap, test vendor releases and document impact to team members and external partners.

Course & Content Management:

  • Assist LMS Manager with uploading and maintaining training content in the LMS, ensuring that all materials are up-to-date and.
  • Help maintain learning plans and course templates.
  • Program and update surveys as needed.

Reporting & Analytics:

  • Produce regular LMS reports on user progress, training completion, and other important metrics. Provide ad-hoc reports as requested by partners.
  • Monitor ongoing exports for accuracy and ensure data is consistently flowing into PowerBI. 

Quality Assurance:

  • Test LMS features and functionalities to ensure that everything is working as expected. Identify any issues or improvements and communicate them to the LMS Manager.

Documentation & Training Materials:

  • Maintain accurate documentation for LMS processes, workflows, and user guides. In collaboration with the LMS team create training materials for internal users, including instructional videos or job aids.
  • Provide system training to admins and internal users to help everyone use the system effectively.

Collaboration & Support:

  • Work with team members, including the Training and External Teams, to ensure the LMS is meeting organizational needs. Provide daily support and act as a point of contact for minor issues or questions related to LMS usage.
  • Additional duties as assigned

Required Education, Experience, Knowledge, Skills and Ability

  • 2-4 years of Learning Management Systems administration. Knowledge of Learning Management Systems platforms (Preferably Docebo) 
  • Proficient with Microsoft Office, including excel (can maintain complex spreadsheets). 
  • Proficient in Google Suite.
  • Proven track record of establishing and launching LMS projects.
  • The ideal candidate will have an enthusiasm for leveraging current and emerging technologies to drive improved user experience and efficiency.
  • Expertise in managing a new technology implementation
  • Knowledge of online learning protocols (e.g., SCORM, Tin Can/xAPI, CMI5)
  • Excellent interpersonal and communication skills, both verbal and written, and the ability to work with diverse team members.
  • Able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.
  • Strong customer service focus

Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability

  • Experience in health care training and familiarity with reproductive health. 
  • An understanding of web development, databases, and data management.
  • Knowledge of Instructional Design Principles and Adult learning theories.
  • Experience with authoring tools (e.g. Articulate, Rise, Storyline & Camtasia)
  • Adobe Suite (InDesign, Photoshop, Acrobat) 
  • Knowledge of Web Design (HTML, CSS, Javascript) 
  • PowerBI Reporting 
  • Familiarity with project management tools and software, e.g. Asana

Travel Requirements

This role will require up to 10% business travel. All Upstreamers can expect a minimum of 8 days of business travel per year to attend 1-2 annual organizational retreats and two annual team/department meetings.

Hiring Range

The hiring range for this role is $80,800 to - $90,000.

Final offers for this position will be based upon several factors including the scope of the role, market compensation analysis, position requirements, candidate’s experience level and capabilities, internal pay equity considerations and will be made within the parameters of Upstream USAs compensation framework and philosophy.

Hiring Process

Candidates who advance in our preliminary review process will have an opportunity to discuss the position, their employment background and lived experience with a member of our talent acquisition team by telephone. Those who advance to subsequent steps in our interview process may participate in up to three rounds of meetings by Zoom or in person and in a thought exercise/case study assignment. Each round could consist of multiple meetings with various Upstreamers.
